Hive of Hands Terms and Conditions

This document governs your access to and use of the Hive of Hands platform, including its websites and mobile applications (collectively, the “Platform”). By using the Platform, you accept and agree to be bound by these Terms and Conditions (“Terms”) and our Privacy Policy at hiveofhands.com/PrivacyPolicy.html. If you do not agree, you must not use the Platform.

Shift Engagement terms agreed between a Recruiter and Candidate are unaffected by Platform changes.

Communication and Notifications

Hive of Hands may send notifications and communications to Users via email, text message, in-app notifications, phone, or mail regarding account management, Platform services, Shift Engagements, shift vacancy alerts, and other relevant updates. Users consent to receiving these communications as a condition of using the Platform and must maintain accurate, up-to-date contact information to ensure delivery. Essential communications (e.g., account security alerts, Shift Engagement confirmations) are mandatory and cannot be opted out of while using the Platform. Users can change shift vacancy alerts preferences through the email alerts settings page accessible via their account on the Platform. For other non-essential communications (e.g., marketing or promotional emails), Users may opt out by following the instructions provided in such communications or by our contact us page at hiveofhands.com, subject to applicable laws. Accounts with outdated information may be suspended, with appeals via our contact us page at hiveofhands.com. Hive of Hands may use third-party service providers to deliver communications, in compliance with the UK GDPR and our Privacy Policy. Users experiencing issues with notifications should contact us promptly via Contact Us page at hiveofhands.com.

Suspicious Activity

Accounts engaging in fraudulent or suspicious activity (e.g., using stolen information, malicious account creation) may be terminated.

6. Shift Engagements

6.1. Role of Hive of Hands

Hive of Hands is a marketplace facilitating connections between Recruiters and Candidates. It is not a party to Shift Engagements and does not employ, supervise, or control Users. Decisions to offer or accept Engagements are made at Users’ discretion.

6.2. Independent Contractor Relationship

Recruiters: Users registered as recruiters on Hive of Hands are independent users or businesses. They operate autonomously and are not employees, agents, partners, or affiliates of Hive of Hands. Recruiters are solely responsible for all their recruitment activities, including posting shift vacancies and engaging with candidates. Hive of Hands does not employ any individuals posted on the platform, nor does it act as an employer for candidates. Recruiters use the platform strictly to independently post and manage shift vacancies.

Candidates: Candidates utilising the Hive of Hands platform for Shift Engagements are strictly classified as independent contractors and operate on a self-employed basis, not employees or agents of Hive of Hands or Recruiters. Candidates are solely responsible for:

Recruiters bear the primary responsibility for verifying the qualifications, experience, and overall suitability of Candidates for any engagement. While Hive of Hands conducts certain verifications of Candidate accounts (e.g., to prevent automated activity or bots and ensure platform integrity), we do not guarantee the accuracy, completeness, or truthfulness of any information provided by Candidates or other users on the platform. Users can change certain profile information after initial registration. However, Hive of Hands doesn't monitor these changes or take responsibility for the accuracy or validity of information updated by users on their profiles.

6.3. Engagement Process

6.4. Shift Feedback, Ratings, Reporting & Related Liability

6.4.1. Purpose and Features

At the end of each shift, and also may be accessible from user profiles, the Hive of Hands platform provides a range of tools designed to promote transparency, accountability, and trust between candidates and recruiters. These features include:

All users are expected to use these feedback and reporting features fairly, honestly, and without discrimination. Misuse of these tools to harass, retaliate, or discriminate against others will not be tolerated and may lead to further investigation or account action. These features exist to help maintain a high standard across the platform, support fair treatment, and give other recruiters and candidates the confidence to engage with one another professionally. You may use Hive of Hands’ feedback tools to rate candidates and recruiters or report concerns for investigation.

6.4.3. Nature of User-Generated Content and Hive of Hands' Role

Star ratings, dropdown-based feedback, and reports are submitted directly by users and are therefore user-generated. Hive of Hands does not control, edit, alter, or verify these user-generated ratings, feedback, or reports, and assumes no responsibility for their content or impact. While Hive of Hands reserves the right to review, investigate, or intervene in cases where feedback or reports are believed to be inappropriate, incorrect, or a breach of these Terms, we are under no obligation to do so. Any action taken is at our sole discretion, and we are not obligated to respond to every report or investigation. We might contact you if we receive a concern or report.

6.4.4. Platform Integrity, Misconduct, and Enforcement Actions

Hive of Hands may take action on accounts where we reasonably believe there has been a breach of our Terms, a safety concern, or where deliberate, false, or misleading information has been provided, or compliance-related issues have been identified. Examples include, but are not limited to:

By accepting these Terms, you acknowledge and agree to Hive of Hands’ star rating, feedback, and reporting model, and understand that all reviews and reports are user-generated and not verified by Hive of Hands.

6.6 Limitation of Liability and Disclaimers

Hive of Hands does not act as an employer, nor does it carry or provide insurance on behalf of users of the platform. Hive of Hands is not liable for any issues, disputes, or damages arising directly or indirectly from the actions or inactions of the candidate or recruiter. Furthermore, Hive of Hands assumes no liability for any ratings, feedback, or reports submitted on the platform, nor for any decisions made by users based on this content.

By engaging in a shift, both candidates and recruiters acknowledge and agree that Hive of Hands accepts no liability for any losses, claims, damages, costs, or expenses whatsoever arising from any 'issues' (as defined below), lack of insurance, or insufficient coverage held by either party. This includes, but is not limited to, those related to:

6.7.1 No Insurance Provided by Hive of Hands

Hive of Hands does not provide insurance coverage for recruiters, candidates or users registered on Hive of Hands. This includes, but is not limited to, professional indemnity, public liability, employer’s liability, personal injury, or loss of earnings.

6.7.2 Individual Responsibility for Insurance

Registered users (Recruiters and candidates) are individually responsible for ensuring they have appropriate insurance in place for any issues and risks arising from their participation in shifts. Candidates undertaking shifts are responsible for their own health, safety, and necessary business or personal liability insurance. Recruiters posting and recruiting for shifts are responsible for ensuring adequate business insurance is in place to cover any damages or incidents at their premises or related to their operations.

Candidates are solely responsible for their Shift Engagements, which are outside Hive of Hands’s business and require specialized expertise. Hive of Hands does not provide training, supervision, or worker’s compensation insurance.

9.3.1 Hive of Hands' Commitment

Hive of Hands is committed to promoting equality and diversity and providing a platform free from discrimination. We do not discriminate against any user during the profile registration, verification, or general access to our platform based on any protected characteristic, including age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race (including colour, nationality, and ethnic or national origin), religion or belief, sex, and sexual orientation.

9.3.2 Independent Recruiter Decisions

Recruiters operating on the Hive of Hands platform are independent entities, and their decisions regarding the selection and engagement of shifters for specific shifts are their sole responsibility. Hive of Hands acts solely as a platform to connect self-employed shifters with recruiters posting shifts.

9.3.3 Recruiter Obligations

Recruiters using Hive of Hands are strictly required to comply with all applicable anti-discrimination laws and regulations in the United Kingdom, including the Equality Act 2010. Recruiters must not discriminate against shifters based on any protected characteristic when posting shifts, reviewing profiles, or making hiring decisions. All hiring decisions must be based on legitimate, non-discriminatory criteria such as suitability for the shift, qualifications, experience, and compliance with the shift requirements.

9.3.4 Suitability and Non-Compliance

While recruiters may deny a shifter for reasons of non-compliance with shift requirements, lack of suitability, or other legitimate, non-discriminatory criteria, such denials must not be based on any protected characteristic. Recruiters are not obliged to provide specific reasons for non-selection for every candidate, but any decision must be justifiable as non-discriminatory if challenged.

9.3.5 Platform Monitoring and Action

While Hive of Hands does not actively monitor the individual hiring decisions made by recruiters, we take allegations of discrimination very seriously. If we receive reports of discriminatory practices, or if a pattern of behaviour suggests a breach of this clause, Hive of Hands reserves the right to investigate, and take appropriate action, which may include, but is not limited to, issuing warnings, suspending, or terminating the account of any user (recruiter or shifter) found to be in breach of this non-discrimination policy or applicable laws.

9.3.6 Reporting Concerns

Shifters who believe they have been subject to discriminatory practices by a recruiter on the platform are encouraged to report their concerns to Hive of Hands immediately.

9.4 Recruiter Responsibilities

9.6 Right to Audit

Hive of Hands reserves the right, at its sole discretion, to audit and inspect any and all records, data, systems, and activities related to your use of the Platform and any Shift Engagements. The purpose of such audits is to verify your compliance with these Terms, including but not limited to:

9.6.1. Audit Procedure

Any audit will be conducted by Hive of Hands or its designated representatives. Hive of Hands will endeavour to provide reasonable prior written notice of any audit, typically no less than 5 business days, unless circumstances reasonably require more immediate action (e.g., in cases of suspected fraud or security breaches). Audits will be conducted during normal business hours and in a manner that minimises disruption to your operations. You agree to cooperate fully with any such audit and to provide all reasonable assistance, access to relevant records, and information requested by Hive of Hands to facilitate the audit.

9.6.2. Confidentiality of audit

All information obtained by Hive of Hands during an audit will be treated as confidential and will be used solely for the purpose of verifying compliance with these Terms.

9.6.3. Costs of Audit

In the event that an audit reveals a material breach of these Terms, including but not limited to, a discrepancy in financial obligations or a significant instance of non-compliance with data usage policies, you agree to reimburse Hive of Hands for the reasonable costs of such audit.

9.6.4 Consequences of Non-Compliance or Refusal of audit

Your failure to cooperate with an audit, or any finding of material non-compliance during an audit, may result in, but is not limited to:

10. Data Protection and Privacy (GDPR Compliance)

Hive of Hands processes personal data per the UK GDPR, Data Protection Act 2018, and Privacy Policy. Hive of Hands acts as a Data Controller, maintaining appropriate security measures. We collect and process personal data only for the purposes specified in the Privacy Policy and ensure it is adequate, relevant, and limited to what is necessary. In the event of a personal data breach likely to risk your rights and freedoms, we will notify you without undue delay, typically within 72 hours, via email or other provided contact methods.

10.1 Consent for Processing

By creating profile and providing your profile information and uploading any documents (including, but not limited to, Photo ID, DBS certificates, bank statements, proof of address, business registration documents, and profile photos), you explicitly consent to Hive of Hands collecting, storing, processing, and utilising this personal and business data.

Users responsibilities for confidentiality:

Users must keep all platform data confidential and use it only for recruitment activities or specific Shift Engagements conducted through Hive of Hands. Both recruiters and candidates must adhere to strict confidentiality regarding all platform data.

Recruiters, specifically, must maintain the confidentiality of candidate data and are prohibited from using it for any unintended purposes outside of the recruitment or Shift Engagement processes on Hive of Hands. Recruiters are also responsible for ensuring candidates handle confidential information appropriately, and this may include having confidentiality agreements in place if necessary.

You agree to strictly maintain the confidentiality of all information accessed or obtained through the platform, including but not limited to, recruiter details, company information, shift specifics, and any other non-public data. You must not misuse, disclose, share, or distribute this confidential information to any third party or use it for any purpose other than your direct participation in recruitment activities or Shift Engagements initiated via Hive of Hands.

While both parties are required to maintain strict confidentiality, Hive of Hands is not liable for any breaches of confidentiality by individual candidates or recruiters. Should you become aware of any data breaches, breaches of confidentiality, or misuse of data, please report it to us immediately via our Contact Us page.

Please note: Any instances of data breaches, breaches of confidentiality, or misuse of data that violates GDPR or other applicable data protection laws may lead to immediate account closure and may lead to an investigation and further action.

10.4 Data Handling and Security

By accessing and using our platform, you agree to our data handling practices as outlined in our Privacy Policy. This includes the storage and processing of your personal data by third-party hosting and backup services. We take all reasonable steps to protect your data but rely on the security measures of our third-party providers.

All intellectual property rights, including but not limited to copyright, trademarks, design rights, database rights, and all other proprietary rights, in and to the Hive of Hands Platform (including its software, source code, object code, design, text, graphics, logos, user interfaces, functionality, and all content provided by Hive of Hands), are owned by Hive of Hands or its licensors. These works are protected by UK and international intellectual property laws and treaties. All such rights are expressly reserved.

Users are granted a limited, non-exclusive, non-transferable, revocable license to access and use the Hive of Hands Platform strictly for its intended purposes as set out in these Terms. No rights are transferred to you other than the limited license to use the Platform.

You retain all ownership rights in the content that you upload, post, transmit, or display on or through the Platform ("User Content"). You are solely responsible for your User Content and the consequences of submitting and publishing it.

13.3.2 License Granted to Hive of Hands

By uploading, posting, transmitting, or displaying User Content on or through the Platform, you grant Hive of Hands a worldwide, non-exclusive, royalty-free, fully paid, perpetual, irrevocable, transferable, and sub-licensable license to use, reproduce, modify, adapt, publish, translate, create derivative works from, distribute, perform, and display your User Content in connection with the operation of the Platform and the provision of services to you and other users. This license is necessary for Hive of Hands to operate and improve its services.

13.3.3 Representations and Warranties for UGC

You represent and warrant that:

Hive of Hands reserves the right, but is not obligated, to monitor, review, edit, or remove User Content at its sole discretion, without notice, for any reason, including if it violates these Terms or is otherwise objectionable.

Hive of Hands's name, logo, and all related names, logos, product and service names, designs, and slogans are trademarks of Hive of Hands or its affiliates or licensors. You must not use such marks without the prior written permission of Hive of Hands.

By using the Platform, Recruiters grant Hive of Hands a limited, non-exclusive, royalty-free license to display their name and/or logo solely for identification and promotional purposes related to their use of the Platform. Testimonials provided by users may also be displayed by Hive of Hands for promotional purposes, strictly with the prior written approval of the providing user.

14. Copyright Infringement

Report violations via contact us page at hiveofhands.com with “COPYRIGHT INFRINGEMENT NOTICE” in the subject line. Repeat infringers’ accounts will be terminated.

15. Platform Access and Changes

Hive of Hands may withdraw or amend the Platform without notice, except for ongoing Shift Engagements, which require 10 business days’ notice. Hive of Hands is not liable for unavailability (eg: server issues). Content may be updated but is not guaranteed to be current.

16. Linking and Third-Party Content

Users may link to the Platform’s homepage if legal and not suggesting unauthorized affiliation. Hive of Hands is not responsible for third-party sites, services, or content linked from the Platform, including their privacy practices. Users should review the privacy policies of third-party websites or services (e.g., Recruiter systems, payment processors) before providing personal data. Third-party content (e.g., job postings) is the provider’s responsibility, not Hive of Hands’s.

17. Geographic Restrictions

The Platform is for use in the United Kingdom. Access outside the UK is at Users’ risk and subject to local laws.

18. Dispute Resolution and Arbitration

Users may opt out of arbitration within 30 days of Platform use by sending a signed letter/email to Hive of Hands (contact details to be provided), stating their name and intent to opt out.

19. Governing Law and Jurisdiction

These Terms are governed by the laws of England and Wales, except for arbitration provisions, which follow the Federal Arbitration Act or applicable state law. Non-arbitrated proceedings occur exclusively in English courts.

20. Disclaimer of Warranties

The Platform is provided “as is” and “as available” without warranties of:

Users are responsible for anti-virus measures and data backup. Hive of Hands is not liable for losses from viruses or denial-of-service attacks.

21. Limitation of Liability

To the fullest extent permitted by law, Hive of Hands, its affiliates, and agents are not liable for:

24.1. Candidate Verification and Checks

Verifications conducted by Hive of Hands are solely to ensure the safety, security, and integrity of the platform, and to prevent misuse, fraud, or unauthorised access. These verifications are not part of, nor do they imply, any recruitment or employment process, unless you have explicitly indicated that your profile or a specific application is intended for recruitment purposes. Hive of Hands currently does not recruit candidates.

24.1.1. Profile Photo Guidelines

Your profile photo is a key part of your professional representation on Hive of Hands. Please adhere to the following guidelines:

Candidates must ensure information on profile and documents provided for verification is accurate. Where applicable, you are expected to show a valid identification and proof of right to work to the recruiter at the start of the shift. You are also responsible for keeping your original documents secure at all times. You may need to show documentation for any required checks related to the shift, with your consent. These may include, but are not limited to: criminal record/DBS checks, professional registrations, driving licences, or qualifications and training.

24.1.2. Identity Verification (Photo ID)

To verify your identity, you must provide a clear and valid photograph of one of the following documents:

24.1.3. Right to Work and Self-Employment Status

To ensure compliance with UK immigration laws and the legal requirement for self-employed individuals to work in the United Kingdom, all users must demonstrate their Right to Work in the UK before being onboarded or accepted onto the platform. By registering with Hive of Hands, you confirm that you hold the necessary immigration status and permissions to undertake work in the UK. This includes, but is not limited to, providing appropriate documentation for verification as per Home Office guidelines.

Furthermore, you must be legally permitted to operate as a self-employed individual in the UK under your current visa or immigration status, if applicable. Hive of Hands reserves the right to:

Restrictions on Right to work or Visa:

Individuals whose immigration status or visa conditions impose restrictions on their right to work, or specifically prohibit self-employment, may unfortunately be rejected from the platform. It is your sole responsibility to understand and comply with your individual immigration conditions and ensure you are legally able to provide services as a self-employed person in the UK. Failure to provide valid and satisfactory Right to Work documentation, or if it is determined that your immigration status restricts or prohibits self-employment, will result in the rejection of your application or the immediate termination of your access to the platform.

24.1.4. Professional Registration Requirement

For positions that require professional registration, licensing, or certification (e.g., healthcare, trades, engineering, security, or similar regulated roles), you must:

It is your responsibility to ensure all qualifications and registrations remain valid and up to date for the duration of your work.

If the role involves working with people, particularly vulnerable individuals such as children, elderly adults, or those receiving care and requires professional registration or certification, you are expected to hold valid and up-to-date Professional Liability Insurance (PLI), also referred to as Medical Malpractice Insurance, where applicable. This includes, but is not limited to, professionals registered with bodies such as the NMC, HCPC, GMC, RCVS, GDC, GCC, Ofsted, or SIA. This insurance is essential to protect both the practitioner and the individuals they support from claims arising due to professional negligence, error, or misconduct.

Please note: We do not provide insurance coverage on behalf of users who register or operate on our platform. This requirement is the sole responsibility of the professional. A declaration of insurance statement is included on all relevant job vacancies posted and applied for via our site.

24.1.5. Driving Licence & Vehicle Eligibility Requirement

For any positions that require the operation of a vehicle, machinery, or specialised equipment (including but not limited to vans, heavy goods vehicles, cranes, or similar), you must:

24.1.6. Disclosure and Barring Service (DBS) Check

Only upload a Basic DBS dated within the last 3 months. We do not accept Standard or Enhanced DBS, or checks issued via another employer.

By providing DBS certificate numbers, Candidates consent to DBS Update Service Status Checks, we may use it to verify your certificate. By uploading or providing DBS update service, you consent to us viewing, verifying, processing, and storing your DBS in accordance with our DBS and data handling terms.

Submitting false, altered, or non-compliant DBS documents may result in account suspension. We only display the issue date of your DBS on your profile — no other information is disclosed. The date of the most recent DBS check is displayed on the profile, providing an estimated verification timeframe by Hive of Hands (typically within 6 months of the DBS date).

If a user was registered with the DBS Update Service at the time of our initial verification, their DBS was verified only once, when they first provided this information. Please note that users may cancel or change their DBS information after our verification. We don't re-verify DBS checks for any users.

DBS Cost Reimbursement: Reimbursement is contingent upon your successful completion of five (5) shifts booked via hiveofhands.com. To claim reimbursement, you must contact us and provide satisfactory evidence of the DBS application cost. Eligibility for reimbursement is at the sole discretion of Hive of Hands.

24.1.7. Proof of Address

You are required to provide a valid document as proof of your current residential address. Acceptable examples of Proof of Address documents include, but are not limited to, a recent bank statement or a utility bill (e.g., electricity, gas, water, internet).

We verify your address exclusively during your initial registration. We do this to confirm the authenticity of your profile and to provide a secure and trustworthy platform for all users. You can update your address details in your profile at any time. However, please be aware that we do not re verify addresses for changes made after your initial registration. It's your responsibility to ensure your address details are kept accurate and up to date in your profile.

24.1.8 Proof of Nationality

To comply with legal obligations regarding a candidate's right to work, visa restrictions, and to ensure the authenticity of profiles, you must provide valid proof of nationality and any relevant visa documentation. Acceptable documents for this purpose include a valid passport, national ID card, or a biometric residence permit.

If you have already uploaded a passport for your Photo ID, you do not need to upload it again; you can simply select the "already uploaded" option on the document verification page to use the same document for these verifications.

24.2 Profile Disclosure

Your profile on Hive of Hands is private by default. It becomes visible to recruiters only under the following circumstances:

Hive of Hands administrators have access to user profiles solely for legitimate operational purposes, such as verifying compliance, addressing support inquiries, or ensuring platform integrity. This access is governed by strict confidentiality protocols and is exercised in accordance with our Privacy Policy and applicable data protection laws.

Internal and Favorite candidate: Recruiters can add your profile to their "internal candidate" or "favorite candidate" lists, and may share these lists within their network, which allows them to continue seeing your profile. You always retain full control over your profile's visibility. If you wish to be removed from any recruiter's internal or favorite list, you can do so at any time through you “Internal candidate of” and “Favorite candidate of” tabs from your left hand side menu on your profile.

24.3. Income tax for Candidate earnings

You must comply with all applicable tax obligations and declare your earnings to the relevant authorities. Hive of Hands may share your earnings information with HM Revenue & Customs (HMRC) if required to do so by law.

24.4. Payment Schedule for candidates

You are expected to receive payment through Hive of Hands only and should not request or accept payment directly from the recruiter. Workers are paid on a 2 weekly cycle. Each work period runs from Monday to the Sunday of Week 2. Payments are processed on the following Thursday and paid out the next Monday. Hive of Hands reserves the right to delay or withhold payment if required documentation, timesheets, or right-to-work evidence is incomplete or invalid.

24.5. Shift information

You should review the shift details carefully to ensure you are comfortable with the duties and believe them to be safe and lawful. As an independent contractor or worker, you are responsible for your own health, safety, and conduct during the shift. Candidates may be contacted directly by Recruiters based on profile information.

24.6 Providing Third-Party Personal Information

If you submit personal information about third parties (e.g., references or emergency contacts) on our platform, you are responsible for ensuring that you have obtained their explicit consent to share their information on the Platform. This includes informing them about how their data will be used and stored, in accordance with our Privacy Policy.

By providing such information, you confirm that you have secured the necessary consent from the individuals concerned. We are not responsible for verifying the consent of third parties whose personal data you provide, and you assume full responsibility for any consequences arising from the failure to obtain proper consent.

24.7. Working Time Regulations and Candidate Responsibility

Hive of Hands is a platform that facilitates connections between recruiters and independent contract workers. We do not employ or recruit candidates directly. Therefore, we are not responsible for monitoring or enforcing working time limits under the UK Working Time Regulations 1998.

Candidates using our platform are considered self-employed or independent contract workers and are individually responsible for managing their own working hours in compliance with applicable laws. This includes adhering to the 48-hour average weekly working limit, unless they have voluntarily opted out through a written agreement, as permitted by law.

By using Hive of Hands, candidates acknowledge and accept that it is their sole responsibility to ensure compliance with all relevant working time regulations. Hive of Hands does not assume liability for any breaches of these regulations by users of the platform.

25. Recruiter Specific Terms

25.1. Recruiter Verification and Checks

Verifications performed on recruiter accounts and their associated businesses by Hive of Hands are strictly to confirm the genuineness and legitimacy of the business entity, and to ensure the overall safety, security, and integrity of the platform for all users. These measures are critical in preventing fraudulent activities, unauthorised use, or any form of misuse of our services.

To verify business accounts, you'll need to provide a few key documents. Here's a breakdown of what we require for each:

Must be a high-resolution image of your official business logo. This helps us identify your brand on our platform.

25.1.2. Business Photo

If your organisation does not have a logo, provide a recent photograph that clearly represents your business's physical location or operations. This could be:

Recruiters are responsible for verifying the candidate’s identity, right to work (if applicable), and the accuracy of their profile before the shift begins. You are responsible for conducting all checks required for the shift, with the candidate’s consent. These may include, but are not limited to: criminal record/DBS checks, professional registrations, driving licenses, or qualifications and training.

While Hive of Hands endeavors to verify candidate profiles at the point of registration, users may update their information thereafter. It remains your responsibility to ensure all applicable checks have been completed and to confirm this at the end of the shift.

25.10. Use of Internal and Favourite Candidate Lists

Recruiters may add candidates to their “internal candidate” or “favourite candidate” lists within the Hive of Hands platform to enhance their experience, save time, and streamline the shift management process.

Internal Candidate: The “Internal candidate” feature is intended to facilitate efficient coordination with candidate members who are genuinely part of your organisation.

25.11. Internal and Hive Internal Shift Postings Disclaimer

When selecting the "Internal" or "Hive Internal" vacancy type while creating a shift, the shift will be visible only to your internal candidate or to the internal candidate of members or organisations within your Hive network. It is solely your responsibility to add, remove, send requests to, accept requests from, interact and manage internal candidates or organisations within your Hive.

Internal candidate (yours or from your Hive network's organisations) can apply for vacancies directly, bypassing our internal verification process and DBS requirements. By choosing to post a shift as Internal or Hive Internal, you acknowledge that all responsibility for verifying the authenticity, suitability, and compliance of the candidates lies with you and/or the originating organisation. This includes, but is not limited to, validating qualifications, training records, DBS checks, and any other compliance requirements.

Hive of Hands does not control, monitor, or verify the accuracy or completeness of information provided by internal candidates or their associated organisations. We accept no liability for any issues arising from internal collaboration, including but not limited to misrepresentation, non-compliance, or inadequate documentation.

Recruiters are advised to use due diligence when managing internal relationships and posting shifts under these categories, as Hive of Hands does not intervene in, or take responsibility for, the internal management of such candidates or networks.

25.12. DBS Check and Verification Disclaimer

Our platform allows recruiters to post shift vacancies with the option to indicate whether a Disclosure and Barring Service (DBS) check is required. It is solely the responsibility of the recruiter to determine whether a DBS check is necessary for any given role.

Please note that when a candidate is marked as "DBS checked" on our platform, this refers only to a Basic DBS check. Hive of Hands does not conduct any DBS checks (Basic, Standard, or Enhanced) on behalf of recruiters. Verification of a Basic DBS certificate is performed once, either during initial registration or when the candidate submits their DBS document to us. The date of this verification is displayed on the candidate’s profile. We rely solely on the documents provided by the candidate and do not perform independent background investigations or authenticity checks.

Recruiter's may ask candidates to show recent DBS information at the start of a shift with the candidate's consent. Hive of Hands doesn't take responsibility for DBS information not being up to date.

To support informed hiring decisions, Hive of Hands offers additional indicators of candidate reliability. Recruiters can view statistics such as the number of shifts completed, number of reports, star ratings and feedback from previous shifts. We encourage recruiters to consult these metrics regularly when assessing a candidate's suitability.

All hiring decisions made through Hive of Hands are the sole responsibility of the recruiter. Hive of Hands accepts no liability for the accuracy or authenticity of any documents provided by candidates or for any errors, omissions, or misrepresentations in our limited verification process.

25.14. Shift Completion and End Shift Responsibility

The Hive of Hands platform includes an “End Shift” feature that allows for final adjustments to a shift, such as start time, end time, mileage, breaks, and allowances, before it is officially ended.

It is the recruiter’s responsibility to:

Only shifts that are properly ended will be marked as complete, become available in reports and get submitted for candidate payment.

To support flexibility, recruiters have the option to create secondary users with permission to end shifts only. This feature is intended to assist the main registered user if they are unavailable or away from work at the time the shift ends. The main user remains ultimately responsible for the accuracy and timely completion of shifts.

If a shift is not ended within 24 hours of the scheduled end time, the system will automatically end the shift. Auto-ended shifts may be reviewed and are subject to adjustment if there are any queries, complaints, or discrepancies.

Hive of Hands may step in to make adjustments only in cases of dispute, error, or compliance-related concerns.

25.15. Recruiter's Responsibility for Candidate Compliance

Candidate profiles may display information on candidate profiles such as right to work status, driving licence type, professional registrations, and other compliance-related details as provided by the candidate.

However, it is the sole responsibility of the recruiter to:

Hive of Hands does not guarantee the completeness, validity, or currency of candidate-provided compliance information. Recruiting and selecting candidates is entirely the recruiter’s responsibility, including any due diligence or checks required under law or internal policy.

Failure to verify such compliance may result in legal or operational consequences, for which Hive of Hands accepts no liability.

26. Misuse and Spamming Policy

Users are prohibited from engaging in any form of spamming, unsolicited communication, harassment, or submitting irrelevant or inappropriate content.
